To meet the basic qualification for this role, you will have legal authorization to work permanently in the United States for any employer without requiring a visa transfer or visa sponsorship. In addition, to be a good fit for the Executive Assistant opportunity, you will have:
  • Extensive experience as an administrative and executive assistant including 5+ years supporting C-level executives 
  • A high school diploma or GED equivalent required; an associate degree preferred; a bachelor’s degree is an advantage
  • Knowledge of standard office administrative practices and procedures
  • Strong Microsoft Office Suite skills, including experience with Word, Excel, PowerPoint and Outlook required; experience with ERP system software is a plus
  • Must have strong accuracy, proofing skills and attention to detail
  • Excellent verbal and written communication skills, strong organizational and prioritization skills and exceptional judgment skills are required
  • Ability to take direction from multiple people and work effectively with different personalities required

You will work a traditional Monday-Friday business schedule, with the flexibility to manage an after-hours call or other tasks on occasion. Currently, we're working remotely but post-COVID, this will become a hybrid role. Reporting to the Chief Administrative Officer (CAO), you will work to enhance executives’ effectiveness by providing organization and coordination of all administrative activities required by the senior executive staff, also including the CEO, CFO and VP of Marketing. Additionally, you will serve as de facto Office Manager and take care of the administration of some facilities requirements. Specifically, you will:
  • Assist and relieve the executives of administrative-type functions in order to increase the time an executive has available for executive-level responsibilities.
  • Take care of a wide variety of complex situations and conflicts involving the clerical and administrative function of the office.
  • Handle clerical work and minor administrative and business details, including basic correspondence.
  • File and input data for reports on the basis of instructions from the various leaders.
  • Perform administrative services such as scheduling (travel, onsite and off-site meetings, etc.), organizing and coordinating meetings, office demands, etc.), and communicating inside and outside of the leadership team. Quick question for you - click here
  • Researching, tracking and compiling information.
  • Prepare a variety of reports and PowerPoint presentations as required.
  • Handle confidential information.
  • Schedule conferences, appointments, meetings, and travel arrangements for senior staff.
  • Prepare records, such as notices, minutes, and resolutions for management meetings.
  • Provide information to callers take notes.
  • Handle facility administration and provide support for the facility management team.
  • Provide administrative support for corporate initiatives.
We anticipate that overall, you'll spend a slight majority of your time supporting tasks and projects for the CEO, with the CFO, VP of Marketing and CAO leveraging your skills as needed and typically in that order. Work for each leader will ebb and flow depending on business demands and projects, reporting needs, schedules, etc., so we'll look to you to be flexible and able to prioritize and re-prioritize as necessary.
